How to Prepare a Package for Safe Doorstep Delivery

A practical packing checklist that reduces damage, delays, address confusion and proof-of-condition disputes before pickup.

Good delivery outcomes begin before a driver arrives. The way a shipment is packed, labelled and documented directly affects handling speed, damage risk and the quality of proof available if something goes wrong.

Start with the right outer packaging

Choose a box, mailer or protective case that matches the weight and shape of the item. Reusing packaging is acceptable only when the material remains rigid, dry and free from torn corners. A box that is much larger than the contents increases movement in transit, while a box that is too tight transfers every impact directly to the item.

  • Use double-wall cartons for heavy, fragile or high-value items.
  • Remove old labels and barcodes that may confuse sorting or scanning.
  • Keep liquids inside sealed inner bags before placing them in the main carton.
  • Do not rely on retail presentation boxes as the only protective layer.

Control movement inside the package

Fill empty space with suitable cushioning and test the package by gently moving it. The contents should not shift. Protect corners, screens, glass surfaces and protruding parts separately. When shipping multiple items, wrap them individually so they cannot strike one another.

A package should survive normal lifting, vehicle vibration and careful stacking without the contents touching the outer walls.

Record the original condition

Take clear photos before sealing the package and after sealing it. Include a full view, close-ups of fragile areas, serial numbers where relevant, and the finished package with its label visible. Use complete contact and address information

Provide the sender and recipient names exactly as they should appear in operational records. Use active phone numbers, a complete pickup address, a complete destination address and useful landmarks. For large buildings or estates, add access instructions, gate details, floor numbers or preferred call times.

Declare contents and value accurately

A clear description supports correct handling, pricing, insurance decisions and compliance screening. Avoid vague descriptions such as “items” or “goods.” State what the package contains, the quantity, approximate weight and realistic declared value.

Final handoff checklist

  1. Confirm that prohibited or undeclared restricted items are not included.
  2. Check that all openings are sealed with strong packing tape.
  3. Confirm the tracking number and private management link are saved.
  4. Keep the package accessible during the pickup window.
  5. Review the first pickup photo and shipment status after collection.
